1. Booking Confirmation

To officially reserve your event date, a signed agreement and a non-refundable deposit (see payment terms) are required. No services will be rendered or dates held without formal confirmation.

2. Payment Terms

A 40% non-refundable deposit is due upon booking to secure the event date and initiate preparations. The remaining 60% is due no later than 7 calendar days before the event. If full payment is not received by this deadline, we reserve the right to cancel our services.

3. Late Payments

A late payment fee of 5% of the total event fee may be applied for every 7-day period that the balance remains unpaid after the deadline, unless otherwise agreed in writing.

4. Cancellation Policy

  • All cancellations must be submitted in writing (email is acceptable).

  • Cancellations made more than 60 days before the event: deposit is retained, but no further payment is required.

  • Cancellations made 30–59 days before the event: 75% of the total amount is due.

  • Cancellations made less than 30 days before the event: full payment is required.

5. Event Postponement

We understand that circumstances may change. Postponements are accepted once, free of charge, if requested at least 21 days before the event and are subject to our availability. A new agreement will be drawn up. Postponements requested less than 21 days in advance may incur additional fees.

6. Client Responsibilities

  • The client is responsible for providing:

  • Accurate and complete information about the event

  • Necessary access to the venue

  • Any permits, licenses, or approvals required for the event

  • Timely communication and decisions that may affect the planning timeline

7. Vendor Management

We can coordinate with third-party vendors (e.g. catering, AV, decoration), but are not liable for their performance unless explicitly contracted through us. Vendor changes must be communicated at least 14 days before the event. Extra charges may apply for last-minute changes or miscommunication from the client's side.

8. Venue Access & Setup

We require access to the venue at least X hours before the event for setup, technical checks, and coordination (customized per event type). The client must ensure venue availability and access during setup and breakdown hours.

9. Force Majeure

We are not liable for any delay, cancellation, or failure to perform due to circumstances beyond our control, including but not limited to natural disasters, strikes, pandemics, travel restrictions, or government actions. In such cases, we will work with you to reschedule or adapt the event where possible.

10. Damage & Liability

The client is responsible for any damages to the venue, equipment, or property caused by themselves, their guests, or third-party vendors. We are not liable for loss or damage to personal property during the event.

11. Insurance

We strongly recommend that clients obtain event insurance to protect against unforeseen circumstances, cancellations, or damages. We carry standard business liability insurance but do not cover event-specific liabilities.

12. Post-Event Follow-Up

After the event, we offer professional follow-up services such as feedback collection, evaluation reports, and debriefing. These services are optional and must be agreed upon prior to the event.

13. Intellectual Property

All creative work, concepts, and documents provided by us remain our intellectual property unless otherwise stated in writing. Clients may not reuse, modify, or redistribute these materials without permission.

14. Privacy & Data Use

Client information is kept confidential and used only for the purpose of delivering our services. We may showcase event visuals (photos, videos) in our portfolio or social channels unless the client explicitly requests otherwise in writing.
